Pharmaceutical QC: Documentation Before Configuration

Why method, qualification, data and training questions belong in the first pharmaceutical instrument discussion — before the configuration is chosen.

Pharmaceutical QC purchases are usually decided on performance and then implemented on documentation, which is the reverse of the order that works. By the time the instrument is on the bench, the method, the qualification evidence, the data record and the training all have to be in place — and each of them takes longer than the purchase did.

Four questions before the configuration

  1. Which method will the instrument serve, and in which version?
  2. What qualification evidence will the quality system require, and who signs it?
  3. What must the data record contain, and which system receives it?
  4. Who will operate and maintain the instrument, and how will they be trained?

Why documentation is a purchase decision

An instrument delivered without qualification documentation becomes a project. The laboratory has to write the protocol, source reference materials, and either perform the tests or wait for a service visit. None of that is impossible; all of it is time that was not in the plan, and it delays the first release.

Requirement, question, expectation

Requirement Question to ask What to expect
Method fit Does the configuration support the working wavelength, range and cell type? A statement against the method, not against the datasheet
Qualification Which characteristics are tested, with which criteria? A record with values and decisions, per unit
Data record Which fields, format and retention? An export the record system can read
Training Is training on the method or on the menu? A scope written into the order

Qualification is not a certificate

What matters is the test, the acceptance criterion, the measured value and the decision — for each characteristic, on that instrument, on that date. A certificate summarising a type test tells the reviewer what the design can do. A qualification record tells them what this unit did.

Data before hardware

Decide the record first: which fields, which format, which signatures, which retention period. Then choose the settings that produce it. A laboratory that begins with the software’s feature list ends up with a record that satisfies the software and not the reviewer.

Training as a deliverable

Training during installation should cover the method, not only the menu. An operator who can run the instrument but cannot recognise a drifting baseline will report the drift as a result. Write the training scope into the order, with the method as its subject, and name the person who will be trained.

The brief

Method and version, qualification expectation, record content, operator profile and training scope. Five items, and they convert a quotation into an implementation plan.
